| Overview |
Not all notes and accounting policies in the accounts will be relevant for every client. BTCSoftware allows you to collapse (hide) individual notes or all notes and accounting policies at once, so that only the relevant disclosures appear in the printed and filed accounts.
| ⚠ Important: Leave collapsing of notes until the very end of finalising the accounts. Using the Show All Data option at any point while editing will expand all collapsed notes back out and you will need to collapse them again. |
| How to Collapse Individual Notes |
- In the accounts task, navigate to the Notes section.
- Right-click on the note heading (the bold heading text) of the note you want to hide.
- From the context menu, go to Notes > Accounting Policies.
- Select either Collapse Notes or Collapse Accounting Policies depending on what you want to hide.
- A selection view will appear showing the available headings. Single left-click on each heading you want to collapse.
- Click Collapse to hide the selected notes.
| How to Collapse All Notes at Once |
To collapse all notes and accounting policies in one step rather than selecting them individually:
- Right-click on any note heading in bold.
- Go to Notes > Accounting Policies > Collapse Notes (to collapse all notes) or Collapse Accounting Policies (to collapse all policies).
- All notes or policies of that type will be hidden from the accounts.
| ✔ Tip: Use Collapse All as a starting point, then selectively re-expand only the notes that are relevant for the client. This is often faster than collapsing notes individually. |
| Re-Expanding Collapsed Notes |
To bring back a collapsed note:
- Right-click on any note heading.
- Go to Notes > Accounting Policies > Expand Notes or Expand Accounting Policies.
- Select the notes you want to show again and click Expand.
| ⚠ Important: Clicking Show All Data when editing the accounts will expand all collapsed notes back out. Only use Show All Data when you need to review all content — and remember to re-collapse notes afterwards before generating the final accounts. |

Q: I collapsed all the notes but now I need to add something — do I have to start again?
A: No. Expand the specific note you need to edit, make your changes, then collapse it again. You do not need to collapse everything from scratch.
Q: Will collapsed notes still appear in the iXBRL submission to HMRC?
A: No. Collapsed notes are excluded from the printed accounts and from the iXBRL file. Only expand the notes that should appear for that client before generating the iXBRL.
Q: The Collapse Notes option is not appearing in the right-click menu — what should I check?
A: Ensure you are right-clicking on a note heading in bold, not on a data cell. The Notes menu only appears on heading rows.
