| Overview |
BTCSoftware Accounts Production allows you to add custom notes to the accounts — for example, additional disclosures required for a specific client. Custom notes are inserted between existing notes using the right-click menu.
| ⚠ Important: When pasting text into notes, do not paste directly from Microsoft Word. Word formatting can cause submission errors. Instead, paste your text into Notepad first, copy it from Notepad, and then paste it into BTCSoftware. This removes any hidden Word formatting. |
| Step 1 — Insert Rows for the New Note |
- Open the accounts task and navigate to the Notes section.
- Identify where you want to insert the custom note — between existing notes, or at the beginning or end of the notes page.
- Right-click on the row number where you want to insert the note.
- Click Insert to add a couple of blank rows at that position.
| Step 2 — Insert the Note |
- Right-click on the middle row of the blank rows you have just inserted.
- From the context menu, go to Notes > Insert Note.
- Enter a title for the note.
- Define the number of rows the note will need — enter enough rows to accommodate your note text.
- Click OK. The note will be inserted and the note number will be automatically assigned by BTCSoftware.
| Step 3 — Fix the Note Heading Display |
After inserting, you may find the note heading is being cut off. To correct this:
- Highlight the heading cell and the cells next to it.
- Merge the cells — right-click and select Merge Cells, or use the merge option in the toolbar.
- To merge cells, you will need to disable protection first. See Disabling Protection in BTCSoftware for how to do this.
- Once merged, the heading will display in full.
| Step 4 — Merge the Data Rows |
- Apply the same merging technique to the data rows created when you inserted the note.
- Highlight the data rows and merge them across the columns you need.

- Click into the merged data rows.
- Type your note text directly, or paste it from Notepad (not from Word).
- Save the accounts.
| ✔ Tip: Finalise all other aspects of the accounts before adding custom notes. Leave collapsing and hiding of notes until the very end of the accounts preparation process to avoid any display issues. |

Q: The merge cells option is greyed out — what should I do?
A: You need to disable protection before merging cells. Go to the Protection menu on the right-hand pane and untick Enable Protection. Re-enable it after merging.
Q: My note text contains formatting from Word and is causing errors — how do I fix it?
A: Remove the note text, paste it into Notepad, copy from Notepad, and paste back into BTCSoftware. This strips the Word formatting.
