| Overview |
The Know Your Client (KYC) section in BTCSoftware allows you to record and manage client identity verification information, supporting your firm's anti-money laundering (AML) obligations. After completing the client's details, click on the Know Your Client tab to access these features.
| Client Identity Verification |
Under the Client Identity Verification section, you can record:
- Risk Level — the assessed AML risk level for this client.
- Risk Notes — free-text notes supporting your risk assessment.
- Legacy Data — including ID verification date and a checkbox to confirm whether ID has been verified.
- Face to Face — a checkbox to confirm whether you met the client in person during the verification process.
| Identity Verification Documents |
The Identity Verification Documents section allows you to attach copies of verification documents — for example, a driving licence or passport — directly to the client record.
To Copy or Move a Document In
- Click Copy In Document (to keep the original in your file system) or Move In Document (to move it into BTCSoftware).
- Click Browse to locate the document on your computer.
- Select the Category from the dropdown — for example, Driving Licence or Passport.
- Enter a Reference for the document and its Expiry Date where applicable.
- Add any relevant notes.
- Click Save & Close.
Scanning a Document
If your practice has a scanner connected, you can scan the document directly into BTCSoftware from the Identity Verification Documents section without saving it to your file system first.
| Identity Verification Events |
The Identity Verification Events section shows the status progress of events related to the client's ID verification — for example, Agent Authorisation requests and Engagement Letter status. This provides a timeline view of all verification-related activity for the client.
| Marketing Details |
Under Marketing Details, you can record:
- Client Source — how the client came to your firm, for example advertising, personal referral, or professional introduction.
- Marketing Preferences — whether the client has opted in to newsletters or other marketing communications.
- Notes — any relevant marketing notes for the client.
| Key Dates |
Moving to the Key Dates tab in the client record, key dates are automatically populated from information entered on the Details tab — for example filing deadlines derived from the client's accounting period or tax year.

Q: Is the KYC data visible to all users in BTCSoftware?
A: KYC data is part of the client record and is accessible to all users who have access to that client. If you need to restrict access to sensitive KYC information, speak to your BTCSoftware administrator about user permissions.
Q: Can I scan a document if I do not have a scanner connected?
A: If no scanner is available, use the Copy In Document option to attach a photograph or existing scan from your file system instead.
