| Overview |
Where BTCSoftware is installed on a network and accessed by multiple users, each person must have their own user account — two users cannot share the same login credentials. This article covers how to add a new user to the BTCSoftware desktop application.
| ⚠ Important: This guide is for the BTCSoftware desktop product only. If you also use BrightTax, user administration for BrightTax must be managed separately through BrightTax — see Adding a New User to BrightTax. Do not use this guide to manage BrightTax user access. |
| How to Add a New User |
- From the toolbar at the top of BTCSoftware, go to Administration > System > Users.
- Click New Record on the top toolbar.
- A blank user form will appear. Complete the new user's details on the Details tab:
- Full name, username, and password — required for login.
- Email address — used for notifications and correspondence within the system.
- User role — set the appropriate role for the user's level of access.
- Click Save on the top toolbar.
- If applicable, complete the following permission tabs to control what the user can access and what they are responsible for:
- Permitted Events — define which event types the user is allowed to create and manage.
- Organisations Responsible For — assign specific organisation clients to this user.
- Individuals Responsible For — assign specific individual clients to this user.
- Click Save on the top toolbar after completing the permission tabs.
| ✔ Tip: Assigning clients to a user via the Organisations and Individuals Responsible For tabs is optional but useful for workload management and reporting. Users can only be automatically filtered by responsibility if they are assigned to clients. |
| Troubleshooting |
The new user cannot log in
- Confirm the username and password were saved correctly. Ask the user to try again with their credentials.
- Check that the user account has not been set to inactive or blocked.
The user can log in but cannot see certain clients
- Check the Individuals Responsible For and Organisations Responsible For tabs on the user record. If clients are assigned to other users, this user may not have access to them.
