| Overview |
BTCSoftware allows you to create client letters and reports in bulk across multiple clients at the same time, saving the time of generating them individually. Common uses include tax questionnaires, engagement letters, and year-end letters.
| How to Create Client Letters in Bulk |
- From the top navigation toolbar, go to Reports > Client > Bulk Report Creation.
- In the Report Type dropdown, select the letter you want to create — for example, Detailed Tax Questionnaire or Engagement Letter.
- If the letter is tax-year specific, select the relevant Tax Year from the dropdown.
- In the client selection panel, choose the clients for whom the letters need to be created and add them to the selected list.
- Optionally, tick one or both of the following:
- Print files — the letters will be sent directly to your default printer after creation.
- Save to folder — the letters will be saved to a location on your computer's file system.
- Click Create Reports.
- BTCSoftware will generate the letter for each selected client.
| ✔ Tip: If you do not select Print or Save to Folder, the letters are still created and stored against each client's record. You can then go to the individual client's Reports and Letters tab to email letters to clients one by one. |
| Emailing Letters to Clients |
Bulk emailing is not currently available in BTCSoftware. To email a letter to a client:
- Go to Client > Individual or Organisation from the top toolbar.
- Select the client from the list.
- Go to the Reports & Letters tab.
- Find the letter and click to open or email it to the client.

Q: Can I create letters for all clients at once?
A: Yes — use the client selection panel to add all clients, or use any available Select All option to include your entire client list in one run.
Q: The letter I need is not in the Report Type dropdown — what should I do?
A: Check whether the letter exists as a custom cover letter under Administration > Report and Template Design > Tax Return Cover Letters. If it does not exist, you may need to create it as a custom template first.
