How to Back Up Your Data in BTCSoftware

 

Overview

BTCSoftware stores your client data locally or on your network server. Backing up your data regularly protects against data loss caused by hardware failure, accidental deletion, or software issues. This article covers how to run a manual backup, schedule automatic backups, and restore from a backup if needed.

 

⚠ Important: Do not rely on BTCSoftware's built-in backup as your only protection. Also back up to an external drive or cloud storage. If your PC or server fails and your only backup is on the same machine, both will be lost.

 

Running a Manual Backup
  1. Open BTCSoftware.
  2. Go to Tools in the top menu bar.
  3. Select Backup or Backup Database.
  4. Choose the location where you want to save the backup file — ideally an external drive or network location.
  5. Click OK or Start Backup.
  6. BTCSoftware will create a backup file at the chosen location. A confirmation message will appear when complete.

 

✔ Tip: Name your backup files with the date — for example, BTC_Backup_2026-05-01. This makes it easier to identify the correct file if you ever need to restore.

 

Scheduling Automatic Backups
  1. Go to Tools > Backup > Schedule Backup (or Automatic Backup Settings, depending on your version).
  2. Set the frequency — daily is recommended for active practices.
  3. Set the time of day — choose outside working hours, for example 11pm.
  4. Set the backup destination — a network drive or external location.
  5. Click Save or OK to activate the schedule.
  6. BTCSoftware will run the backup automatically at the scheduled time.

 

Restoring from a Backup

If you need to restore data from a backup file:

  1. Go to Tools > Restore or Restore Database.
  2. Browse to the location of your backup file.
  3. Select the backup file you want to restore from.
  4. Click Restore.
  5. BTCSoftware will confirm when the restore is complete.

 

⚠ Important: Restoring from a backup will overwrite your current data with the data from the backup file. Any work done after the backup was created will be lost. Only restore from a backup when necessary.

A: We recommend keeping at least 30 days of daily backups, plus monthly backups going back at least a year. This ensures you can recover from issues that are not immediately noticed.

Q: I need to move my BTCSoftware data to a new PC — can I use a backup to do this?
